This policy explains what SENTRYCO collects, why, and how it is protected. It describes the product as it works today.
Who we are
SENTRYCO provides visitor management and gate access control software to residential communities. The community that operates the gate decides what information is entered into the system and how it is used day to day; SENTRYCO provides and maintains the software on their behalf.
Information we collect
We collect only what the product needs to operate a gate:
- Account information: name, email address, phone number, role and community membership.
- Household and address information: street address, household members and their contact details as entered by the community or resident.
- Visitor approvals: visitor first and last name, visitor or vendor type, approval dates and optional notes.
- Gate activity: entries, denials, the access point used, the officer on shift and the time of each decision.
- Government ID images, only when an officer captures one at the gate.
- Basic technical information needed to keep accounts secure, such as sign-in timestamps.
How we use information
Information is used to authenticate users, decide and record gate access, notify residents and staff of activity, produce reports for community management, invoice communities, and to operate, secure and support the service.
We do not sell personal information, and we do not use it for advertising.
Storage and access
Captured ID images are stored in a private location that is not publicly addressable and are opened only through short-lived links for staff who hold the View Visitor IDs permission. Access rules are enforced in the database, so a resident can reach only their own household's records and staff are limited to their own community.
Some data may be cached on a gate device so that the gate keeps working during a network outage. Cached data is cleared when the user signs out.
Sharing
Information is visible to authorized members of the community that owns the record — for example, community management, staff with the relevant permission, and gate officers on shift. It is also shared with service providers who host and operate the software for us, and may be disclosed where required by law or to protect safety.
Retention
Records are kept while the community's account is active, because gate activity and audit records exist to be reviewed later. A community may ask us to delete records it controls, subject to any legal obligation to keep them.
Your choices and requests
Residents can view and correct their own household details in the app. For deletion of a record, a copy of information held about you, or any other privacy request, contact your community management first — they control the records — or contact us and we will route the request to them.
Children
The service is intended for adults acting on behalf of a household or a community. Household member details for minors should be entered only by a parent or guardian.
Changes to this policy
We may update this policy as the product changes. The effective date at the top of this page will always reflect the current version.
